What is AsPIRE™?

Automated system of Personnel Information Requirements for Employees™ (AsPIRE™) is a secure application that manages an organization's forms and processes for completing employee information changes and request approval cycles. Its flexibility and open design allows for full customization of workflows and forms. The information can be seen only by those people authorized to see it, whether as a manager, accountant, or human resource professional. The full suite handles processes for Personnel, Projects, Employees and Accounting.

Human Resources
AsPIRE assists an organization through the hiring, maintenance and departure of employees. The application assists Human Resources by posting job openings both internally and to the web. Through its browser interface, potential employees from outside the company may apply for the position by completing the interest profile form. Internal processes route the profile and resume to appropriate managers. If the applicants are brought in for interviews, the interviewers are prompted for reviews and recommendations. Finally, if the organization hires an applicant, the system notifies all the appropriate personnel to make sure everything is in place for the new employee's first day of work.

Once the employee is on board, AsPIRE assists with the periodic appraisal process. The system notifies employees of impending reviews, requires management input, and delivers the final product for the personnel records.

Upon an employee's departure, the system assists in tracking the necessary closeout activities.

Projects
Every project requires that employees follow certain bookkeeping requirements so that the money spent on the project can be tracked. Most of these processes begin with the team members. AsPIRE helps the employee gain access to project applications, request training, travel, and conferences in support of the project, and maintain resumes for use by management to find appropriately skilled staff.

Employees
Family situations change among employees constantly. These situations prompt the need for changes in benefits, witholding, and retirement contributions. At times, employees will need to request leave or in some organizations, formal education while management will need to track internal training attendance, briefings and policy acknowledgments. AsPIRE takes this information and automates the process for approval and notification.

Accounting
As the accounting department handles an organization's money, it also has processes to reimburse employees for expenses, manage payroll status changes, or provide money to employees for other purposes. AsPIRE is the perfect conduit for handling these requests.

In 1999, CSCI determined the methodology of human resource and employee information management was in need of review in order to keep up with the fast pace of the company's growth. Most smaller companies do not have an automated workflow to process vacation and training requests, checklists for hiring new employees to the company or the employee interview process. As companies increase their customer base and internal staff, these simple processes can get lost in the shuffle. CSCI realized it needed to venture toward a new direction and philosophy of conducting internal human resource management—AsPIRE.

CSCI's philosophy toward automating business processes started taking shape upon the implementation of AsPIRE. All aspects of the company were to benefit from providing standards to the way business was conducted on a day-to-day basis. Employees were provided the ability to update resumes, track appraisal accomplishments, view status of leave requests and access personal information at a click of a button. The HR department was able to accurately track and audit interview processes, appraisal justifications and cycles and employee benefits. Even more appropriately, AsPIRE data was provided to different departments on a need to know basis depending on their role in the company and relationship with employees.
